Connect your mailboxes

Choose a connection suited to your provider and check receiving and sending separately. The primary address, permissions and available capabilities are always identified.

Available since 10 October 2026

The guides describe available tasks. Some options depend on your plan, your workspace’s capabilities and your provider’s permissions.

Authorise Gmail access

Start the Google connection from mailbox settings. You sign in with Google and authorise Aerogram to access your email. You do not enter your Google password in Aerogram. This process depends on your instance’s Google configuration.

Check the account and address shown when you return, then confirm. Aerogram uses only this account’s primary address, including Google Workspace accounts. Google aliases do not automatically become sending identities; Google Contacts and Calendar access is not requested.

  1. Choose Google when adding a mailbox and continue on Google’s site.
  2. Read the permissions and check the primary address when you return.
  3. Confirm, then check incoming mail and historical import progress separately.

Understand the Microsoft connection

The connector covers Outlook.com, Hotmail, Live and Microsoft 365 Exchange Online when the instance is configured and your organisation permits the application. Administrator consent may be required. Only the primary mailbox and address are supported, without aliases or shared mailboxes.

Validation with a real Microsoft 365 mailbox is still pending. You can read messages and their attachments; previously downloaded content is retained. A successful connection alone does not prove that every message can be read.

Configure IMAP and SMTP independently

IMAP receives and organises email; SMTP sends it. Copy the servers, ports and security requirements supplied by your email host. Some providers require an app password. A successful test of one protocol does not validate the other.

A mailbox can receive only, send only or do both. SMTP alone does not provide an inbox and keeps sent messages locally. If a mailbox cannot send, replying requires another authorised identity. Disabling receiving leaves previously downloaded content readable.

Manage an existing connection

Check the mailbox status and diagnostic before reconnecting. Pausing stops new downloads and sending without deleting data. Disconnecting removes Aerogram’s access; removing local data is a separate operation.

For Microsoft, withdraw consent separately in your Microsoft account or through your administrator. Aerogram does not confirm this remote revocation. Do not delete a mailbox simply to resolve an import delay; check its progress first.

Connect and order mailboxes

Aerogram settings → Mailboxes offers Gmail and Outlook / Microsoft 365 connections alongside IMAP / SMTP assistants for OVHcloud, iCloud, Yahoo, Infomaniak and AOL. Other IMAP / SMTP mailbox keeps manual setup available. Logos appear beside names and are served by Aerogram. A connection remains unavailable if your instance configuration or workspace capabilities do not allow it.

To choose the mailbox order, drag a handle on desktop or use Move up and Move down, including with a keyboard or on mobile. The order saves automatically and applies to the sidebar, mailbox selector and settings list after reloading. New mailboxes are added at the end. This order applies to your Aerogram workspace; it changes neither your messages nor connections, sender selection or prepared sends. This flow has been available in production since 12 October 2026.

Choose a mailbox in the list to open its connection and sync status. Returning to the list preserves unfinished entries but does not save them. A mailbox being removed keeps its progress visible and can no longer be reordered.

  1. Open Aerogram settings → Mailboxes, then Add a mailbox to choose the connection.
  2. In the list, move a mailbox with its handle, Move up or Move down.
  3. Check the save confirmation and find the same order in navigation.

IMAP / SMTP setup assistants

In Add a mailbox, choose Connect OVHcloud, Connect iCloud, Connect Yahoo, Connect Infomaniak or Connect AOL. The form suggests settings documented by the provider. Other IMAP / SMTP mailbox keeps manual setup available. This flow has been available in production since 12 October 2026.

For OVHcloud, select your service. MX Plan asks for Europe or Canada; Email Pro and Exchange ask for the exact server shown under General information in your OVHcloud control panel. Copy that value rather than guessing a number. An address on a custom domain does not identify the plan.

iCloud requires an app-specific password and two-factor authentication. Use the full address for SMTP and adjust the IMAP username if needed following Apple’s help. Yahoo and AOL require an app password, but not every account is eligible to create one. With Infomaniak, create a device password for the mail address: the account password or contacts and calendar app passwords cannot replace it.

Official help links in the assistant explain passwords and settings. Open Advanced settings to adjust servers, ports or usernames and to use separate passwords. Test connection checks the selected receiving and sending protocols separately. Add the account after reviewing the results; IMAP success does not confirm SMTP.

  1. Choose the provider in Add a mailbox; for OVHcloud, also specify the service and the requested region or server.
  2. Read the official help and create the appropriate mailbox, app or device password.
  3. Check the address and usernames; adjust Advanced settings if your provider requires it.
  4. Use Test connection, review each protocol, then add the account.
